Main tasks:
1) introduction of a unified procedure for documenting, organizing work with documents, systems of execution control, and preparation of documents for archival storage in accordance with current legislation;
2) improvement of forms and methods of working with documents;
3) ensuring the reduction of document flow in the Territorial Office;
4) development and implementation of regulatory and methodological documents on improving work with documents in the Territorial Office;
5) ensuring the Head of the Territorial Office exercises their powers regarding the protection of the documentation fund from unauthorized access, loss, and destruction of documents, as well as the violation of document usage rules.
6) ensuring compliance with the rules for documenting the management activities of the Territorial Office, regulating and organizing record keeping from the beginning of receipt or creation of documents until their transfer to the archive or destruction;
7) carrying out the reception, registration, preliminary review, and dispatch of correspondence (including those marked "For Official Use Only");
8) ensuring the reception and issuance of criminal proceedings received by the Territorial Office in accordance with jurisdiction.
Main functions:
1) develops a unified procedure for documenting management information and working with documents regardless of their form of creation;
2) controls compliance by the structural units of the Territorial Office with the requirements for the preparation of electronic and paper documents and the organization of work with them;
3) carries out the registration of incoming correspondence, regardless of the method of its receipt by the Territorial Office, except for applications (reports) regarding criminal offenses;
4) carries out the dispatch of the Territorial Office correspondence via postal, special/messenger, and electronic communication;
5) carries out systematic analysis and generalization of citizens' appeals to identify the underlying causes and the most acute socially significant problems requiring immediate solutions, and informs the management of the Territorial Office accordingly in the established manner;
6) carries out analytical, organizational, informational, and other support for the activities of the management of the Territorial Office, methodical support for the development of draft regulatory acts, administrative, and other documents;
7) controls the timeliness of execution by the structural units of the Territorial Office of orders, directives, and instructions given by the Head and Deputy Heads of the Territorial Office;
8) ensures the organization of work with documents marked "For Official Use Only", except for documents marked "Letter 'M'", "Letter 'K'", "Letter 'CI'", in the manner determined by the organizational and administrative documents of the Economic Security Bureau of Ukraine;
9) conducts inspections of the state of record keeping in the structural units of the Territorial Office;
10) ensures the operation of the Commission for Work with Official Information and the Expert Commission for the Expertise of the Value of Documents in the Territorial Office;
11) organizes the conducting of personal receptions of citizens by the Head and Deputy Heads of the Territorial Office;
12) participates in the organization of the Territorial Office's telephone "hotline".
